First Aid and Safety for School Trips and Outings

We’ve written before about the requirements for first aid while children are in school or nursery, but what about when education is taken away from the classroom? School trips are invaluable educational experiences that extend learning beyond the classroom. However, they also present unique safety challenges that require careful planning and preparation. Understanding the legal safety and first aid requirements for school trips is essential for teachers, administrators, and trip organisers to ensure students’ wellbeing whilst maximising educational benefits.

Legal framework around First Aid for School Trips

All schools in the UK operate under a duty of care, with educational visits falling under the Health and Safety at Work Act and various Department for Education guidelines. Schools must conduct thorough risk assessments before any trip or outing, identifying potential hazards and implementing appropriate control measures. These assessments must be documented and regularly reviewed, particularly for recurring trips.

The responsibility extends beyond paperwork. Schools must ensure adequate supervision ratios relevant to the age of pupils and the nature of the planned activities. For younger children or higher-risk activities, these ratios become lower. Staff accompanying trips must possess relevant qualifications, particularly for specialised activities such as swimming, outdoor adventures or international travel.

Parental consent forms represent another legal requirement, with detailed information about the trip, activities, emergency procedures and medical information. For higher-risk activities or overnight stays, specific consent must be obtained separately from general trip permission.

Insurance Requirements for School Outings

Comprehensive insurance coverage is required for school trips. This typically includes:

  • Public liability insurance of at least £5 million.
  • Employer’s liability insurance.
  • Personal accident cover for staff and pupils.
  • Medical insurance (especially for overseas trips).
  • Travel insurance including cancellation coverage.

Schools should verify that external providers, such as activity centres or transport companies, maintain appropriate insurance and safety certifications, including AALA (Adventure Activities Licensing Authority) licensing where applicable.

Being Able to Provide First Aid

Every school trip must include at least one qualified first aider, with the HSE recommending one first aider for every fifty pupils on low-risk outings, and more for higher-risk activities. These designated staff members must hold current certification in first aid, with paediatric first aid qualifications essential for trips involving younger children.

First aid kits appropriate to the nature and duration of the trip are mandatory, with contents regularly checked and maintained. For trips to remote locations or those involving higher-risk activities, enhanced medical equipment may be necessary. Mobile phones with reliable coverage must be carried to ensure emergency services can be contacted promptly if required.

Medical Considerations of Staff and Pupils

Schools must collect comprehensive medical information for all participants, including allergies, medication, and existing conditions. Staff should be fully briefed on pupils’ medical needs, with clear protocols for medication administration and emergency response procedures.

For pupils with specific medical requirements, individual healthcare plans should be incorporated into trip planning, potentially requiring additional trained staff or specialised equipment. Medications must be properly stored, labelled and accessible throughout the journey.

Setting up Emergency Protocols

A robust emergency response plan is essential, detailing procedures for various scenarios including medical emergencies, missing persons, or severe weather events. This plan should include:

  • Emergency contact information for all participants
  • Clear communication channels between staff, school leadership and parents
  • Designated meeting points in case of separation
  • Evacuation procedures for accommodation and activity venues
  • Contact details for local emergency services and medical facilities.
  • Incident reporting mechanisms

First Aid Training for Staff

All accompanying staff must receive appropriate training before departure, covering first aid procedures, emergency protocols, and specific training related to planned activities. Staff should be familiar with risk assessments and understand their individual responsibilities, with clear leadership structures established.

Safe Transport on the School Trip

Transport arrangements require specific attention to safety requirements, including verification of driver qualifications and vehicle safety certifications. For coach travel, operators must provide evidence of appropriate licensing and insurance, with vehicles equipped with working seatbelts for all passengers.

Meeting the legal safety and first aid requirements for school trips requires diligent planning, appropriate training, and thorough documentation. When these requirements are properly fulfilled, school trips can provide enriching educational experiences whilst keeping student safety as the paramount concern. The effort invested in safety planning ensures that the focus remains on the positive learning outcomes rather than managing preventable incidents.
